Privacy Policy
In short
- The SynchPlus ONE app is a work tool. Your employer gives you an account and decides how the app is used.
- The app uses your location, camera, signatures and, where your job requires it, identity documents — only to run deliveries, inspections, trips and compliance records.
- We do not sell personal information, and we do not use it for advertising.
- Identity numbers and similar personal information are encrypted when stored.
- To access, correct or delete your information, contact your employer or email info@synchplusconsulting.com.
1. Who we are
SynchPlus Consulting (Pty) Ltd (“SynchPlus”, “we”, “us”) develops SynchPlus ONE, an operations platform for fleet, yard, warehouse and field work, and its mobile app. We are based at Suite J, 4th Floor, 165 West Street, Sandton, Johannesburg, South Africa. We process personal information in line with South Africa’s Protection of Personal Information Act, 2013 (POPIA), and the privacy laws of other countries where our customers operate.
2. Your employer and us
SynchPlus ONE is used by businesses (“customers”) to run their operations. If you use the app, it is because your employer or the company you work for has given you an account.
- Your employer decides what information is captured and why. Under POPIA it is the responsible party for that information.
- SynchPlus processes that information on your employer’s behalf, as its operator, under a written agreement and only on its instructions.
- Some customers run SynchPlus ONE on their own servers (on-premise). In that case the information is stored on your employer’s systems, and SynchPlus only accesses it when your employer asks us to provide support.
For our own website, and for business contacts who enquire with us, SynchPlus is the responsible party.
3. What the app collects and why
| Information | What it includes | Why it is used |
|---|---|---|
| Account details | Name, work email or phone, employee or driver number, role and the company you work for | Created by your employer to give you access |
| Location (GPS) | Your device’s location while you use location features such as navigation to a stop, arriving at or completing a stop, trips and check-ins | Route execution, proof of delivery and trip records |
| Photos and scans | Photos you take in the app (proof of delivery, inspections, damage, assets), document scans and QR/barcode scans | Evidence attached to deliveries, inspections and assets |
| Signatures and recipient names | On-screen signatures and the names of people who receive or hand over goods | Proof of delivery and hand-over |
| Identity and compliance documents | Where your employer’s workflow requires it: ID numbers, driver licences and PDPs, and seller identification for Second-Hand Goods Act registers | Legal and compliance records your employer must keep |
| Operational records | Trips, stops, odometer and fuel entries, inspections, job and stock movements, with timestamps and the user who recorded them | Running the operation and keeping an audit trail |
| Device and diagnostics | Device model, operating system, app version, crash reports and basic usage events | Keeping the app working and fixing faults |
| Push notification token | A device token issued by Apple or Google | Sending you job and alert notifications |
Which of these are collected depends on the features your employer switches on. The app asks for your permission before it uses your location or camera, and you can withdraw that permission at any time in your device settings. Some features — for example, completing a delivery with photo proof — will not work without it.
4. How we use personal information
- To provide the features your employer uses: routes and stops, proof of delivery, inspections, trips, fuel and odometer records, assets, jobs, stock and compliance registers.
- To keep an accurate, attributable record of who did what and when, as your employer’s audits and legal obligations require.
- To send you notifications about your work.
- To keep the app secure, diagnose crashes and improve reliability.
- To provide support when your employer asks us to.
We do not sell personal information, use it for advertising, or use it to build profiles for marketing. We do not track you across other companies’ apps or websites.
5. Service providers we use
We share information only with service providers that help us run the app, under agreements that require them to protect it:
- Google Maps Platform — maps, address look-up and navigation. Locations and addresses are sent to Google to display maps and routes. See Google’s Privacy Policy.
- Crash reporting and app analytics — to detect and fix faults. This receives device and diagnostic information, not the content of your work records.
- Apple and Google push notification services — to deliver notifications to your device.
- Cloud hosting — for customers on our managed cloud, data is stored with our hosting provider, with each customer’s data kept separate.
We may also disclose information where the law requires it — for example, Second-Hand Goods Act registers that your employer must make available to the South African Police Service.
6. Where information is stored
Information is stored either on your employer’s own servers (on-premise deployments) or in our managed cloud. If personal information is transferred outside South Africa, we make sure it is protected to a standard at least equivalent to POPIA, as section 72 requires.
7. How we protect it
- Identity numbers and similar personal information are encrypted when stored.
- Information is encrypted in transit between the app and the server.
- Role-based access control limits each user to the information their role needs.
- Changes are recorded in an audit trail.
- Each customer’s data is kept separate from every other customer’s.
If we become aware of a security compromise affecting personal information, we will notify the affected customer, and the Information Regulator and affected people where POPIA requires it.
8. How long we keep it
Your employer sets how long work records are kept, based on its operational and legal needs — some records, such as Second-Hand Goods Act registers and tax records, must by law be kept for several years. When a customer stops using SynchPlus ONE, we delete or return its data as our agreement with that customer sets out. Crash and diagnostic data is kept only as long as needed to fix faults.
9. Your rights and deleting your account
Under POPIA you may ask to access the personal information held about you, ask for it to be corrected or deleted, and object to its processing. Because your employer controls your account and work records:
- To delete your account or ask about your information, contact your employer’s SynchPlus ONE administrator. You can also email info@synchplusconsulting.com with the subject “Account deletion request”, your name and your employer’s name. We will pass the request to your employer and confirm the outcome to you within 30 days.
- Deleting your account removes your login and personal profile. Some work records you created may need to be kept by your employer where the law or its audits require it.
If you are not satisfied with how your request is handled, you may complain to South Africa’s Information Regulator at inforegulator.org.za.
10. This website
- Contact form: when you send an enquiry, your name, email, phone and message are delivered to us through FormSubmit (formsubmit.co), a form-to-email service. We use them only to reply to you.
- Cookies: the website does not use advertising or tracking cookies. It stores your light or dark theme choice in your browser’s local storage.
- Third-party content: pages load fonts from Google Fonts and some scripts from a public content delivery network, which receive your IP address as part of normal web requests.
11. Children
The SynchPlus ONE app is a business tool for working adults and is not intended for anyone under 18.
12. Changes to this policy
We may update this policy as the app and the law change. The effective date at the top shows when it was last changed. Significant changes will be communicated through the app or to your employer.
